Request the correct template
Confirm the final size and production template before designing. Large-format displays can require hidden areas for fittings; folded brochures need a specific panel arrangement. Ask the printer to confirm bleed, safe areas, colour requirements and the preferred PDF specification for the chosen product. Do not assume one universal template works for every item.
Check images and typography
Use source images with enough detail at the final printed size. Enlarging a small image does not restore missing detail. Keep important text away from trim and fold areas. Embed fonts where supported or follow the agreed font-handling workflow. Before outlining text, keep an editable original so corrections remain possible.
Review content at the intended scale
Read names, dates, contact details and sponsor text carefully. Test QR codes from the final exported artwork at a representative size. Check page order and intentional blank pages in booklets. Where colour is critical, discuss an appropriate proof or sample; a screen preview alone cannot reliably represent the physical result on every material.
Package the final files clearly
Use one final file per approved design with a readable name such as item-code_size_version. Remove obsolete versions from the delivery folder or clearly mark them as superseded. Send a product schedule connecting each file to its quantity. Ask for confirmation that the files are suitable before treating artwork submission as production approval.
A final artwork handover checklist
| File check | What to confirm |
|---|---|
| Dimensions | Finished size, bleed and safe area against the chosen template. |
| Images & fonts | Effective image detail and the agreed font-handling workflow. |
| Content | Names, dates, page order, contact details and a real QR scan test. |
| Version control | One approved file per design, tied to its item code and quantity. |
Use this as a starting checklist. Confirm the final specifications and event requirements against your own production brief.
