Prioritize function before quantity
Start by asking what guests need to understand or do. A welcome board confirms arrival. Directional signs help visitors find the right room. A programme explains the sequence. A badge supports introductions. Each printed item should solve a specific need; adding more collateral is not automatically a better experience.
Build a core set
For a focused seminar, the core set might be a welcome display, registration badges, a programme and a small number of directional signs. A multi-track conference needs more session identification and version control. An exhibition may prioritize booth graphics and a concise product brochure. Choose the mix around the format, attendee count and venue layout.
Give each item the right amount of information
A banner is viewed from a distance, so use a short headline and strong contrast. A handout can carry detailed information because the reader holds it nearby. Avoid shrinking a full brochure onto a sign. Check that QR codes have an alternative printed URL and that both point to a working destination.
Keep versions under control
Use consistent names, dates and sponsor order across every product. Maintain a master list with item codes, quantities and artwork versions. When a session changes, update its programme entry, room sign and directional references together. Order quantities and spare allocations should be confirmed from the attendance plan, not guessed from the number of rooms.
Match materials to the event format
| Event format | A useful starting set |
|---|---|
| Single-room seminar | Welcome display, agenda, badges and a concise stationery kit. |
| Multi-track conference | Programme, room signs, session directions and delegate categories. |
| University fair | Institution brochures, table identification and portable merchandise. |
| Corporate meeting | Presentation documents, table cards and meeting-room signage. |
Use this as a starting checklist. Confirm the final specifications and event requirements against your own production brief.
