Create a single source of truth
Use one product schedule instead of separate messages for every item. Suggested fields are item code, description, finished size, quantity, material, finishing, artwork version, approval owner and destination. This makes it easier to see missing specifications and compare the quotation with the approved scope.
Connect artwork to each product
Give each file a name that matches the item code. Record whether multiple designs share a total quantity or each design has its own allocation. For example, ten signs across five artwork versions need a quantity breakdown. Keep superseded files clearly separated so production does not use an old version.
Manage dependencies
Some products can proceed before others. Generic notebooks may be ready while personalized badges wait for a final attendee list. Kit assembly depends on all components arriving. Identify these dependencies and agree whether the order will be delivered together or in stages. Staged delivery can change packing, transport and handover requirements.
Close the order with an allocation check
Before dispatch, compare the final item schedule with the packing list. Label cartons by destination and kit category. Confirm receiving contacts and record any agreed exceptions or remaining items. After handover, keep the approved specification and artwork record for future reorders, while handling attendee data according to the agreed retention arrangements.
A production register for multi-item orders
| Column | Why it matters |
|---|---|
| Item code & product | Connect the specification, artwork and quantity. |
| Artwork version & approval owner | Keep the production release tied to an authorized file. |
| Packing group | Identify complete kits, room allocations and spare items. |
| Delivery milestone | Record the receiver, destination and agreed handover date. |
Use this as a starting checklist. Confirm the final specifications and event requirements against your own production brief.
Turn the plan into a print brief.
Send the item list, quantities, deadline and venue. Add your artwork or reference files, and highlight any decisions you would like help making.
