Separate event timing from receiving timing
A hotel conference has several schedules: guest arrival, organizer setup, goods receiving and any installation. Confirm the permitted receiving window directly with the organizer or hotel contact. Do not assume that hotel reception can accept cartons at any hour or store them until the event.
Identify the exact location
Use the full hotel name and the meeting room or ballroom. Some hotel brands have more than one Jakarta property. Include the event title, receiving contact and reachable phone number. If deliveries go to a loading area rather than the main entrance, provide the approved instructions before dispatch.
Pack for the people who will unpack
Label cartons by room, item or delegate-kit category. Put the event name and product quantities on a packing list. If items must be installed in different spaces, group them accordingly. Confirm whether the hotel, organizer or printing team handles movement from receiving to the meeting room.
Confirm access and responsibilities
Ask about supplier registration, vehicle restrictions and mounting rules for signage. Installation, structures, storage and collection should be agreed separately from printing. Reconfirm arrangements when event plans change. A previous delivery to the same hotel does not guarantee that the next event follows identical procedures.
