Custom Lanyards and Conference Name Badges Guide

Practical planning notes from Kharisma Printing for organizers preparing event materials in Jakarta.

Design the pair together

The badge and lanyard should be specified as one system. Confirm the lanyard width, printed sides, clip type and any safety breakaway requirement. For the badge, confirm dimensions, material, hole position and whether a holder is required. A mismatch between clip and badge can create avoidable assembly work at registration.

Make names easy to read

Prioritize the attendee name, then organization and role where useful. Keep category labels distinct but do not rely on colour alone. Long names and accented characters should be tested in the sample layout. If a QR code is included, confirm its purpose, destination and scannability in the final print size.

Manage personalized information

Approve the layout using fictional sample records first. Agree a secure method for transferring the final attendee list, then keep one controlled version. Specify which columns populate each field and how missing values should appear. Decide who reviews the proof and how late additions will be handled before production begins.

Plan registration handover

Agree whether badges arrive sorted alphabetically, by category or in another sequence. Specify whether lanyards are attached, packed separately or included in kits. A clearly labelled spare allocation can help with operational changes, but quantities and any reprint option must be confirmed with the production schedule.

A badge approval checklist

TestApproval question
Long names & accentsDoes the sample remain readable without clipping or missing characters?
AttachmentDoes the badge hole or holder work with the selected lanyard clip?
CategoriesAre speaker, organizer and delegate variations clearly identified?
PackingWill the registration team receive alphabetical or category-based sets?

Use this as a starting checklist. Confirm the final specifications and event requirements against your own production brief.
