Match the kit to the meeting
A short executive meeting may need name cards, an agenda and a concise report. A full-day conference may require programmes, delegate badges, lanyards, notebooks and room signage. Build the list from the event schedule and attendee experience so each item has a clear role.
Keep room communication consistent
Use the same room names, session titles and timing across programmes, welcome signs and directional materials. If the hotel uses an official room naming convention, confirm it with the organizer. Keep signs readable from the expected distance and discuss permitted mounting or stand options before production.
Review table and delegate materials
Confirm the number of tables, seating layout and whether tent cards are needed per seat or per table. For booklets, approve the total page count and binding. For delegate kits, specify each component and identify any speaker or VIP variations. Make spare allocations explicit rather than treating them as an assumed percentage.
Work backwards from setup
Set a realistic internal deadline for final artwork and attendee information. Include time for review and corrections, then confirm the production schedule with the printer. The required handover is usually linked to organizer setup, not simply the first session. Agree receiving, storage and installation responsibilities before dispatch.
Plan the hotel conference by touchpoint
| Touchpoint | Materials to review |
|---|---|
| Arrival | Welcome display, directions and registration identification. |
| Meeting room | Agenda, table cards, programmes and speaker materials. |
| Breakout sessions | Room signs, session versions and information sheets. |
| Delegate takeaway | Stationery, merchandise and coordinated kits if required. |
Use this as a starting checklist. Confirm the final specifications and event requirements against your own production brief.
