A Practical Guide to Printing for Events at JCC, JIExpo and ICE BSD

Practical planning notes from Kharisma Printing for organizers preparing event materials in Jakarta.

Start with the exact event and hall

Jakarta Convention Center, Jakarta International Expo and Indonesia Convention Exhibition are distinct destinations. ICE BSD and the Soekarno–Hatta Airport hotel are in Greater Jakarta, outside central Jakarta. Hotel and residence entries are planning locations; meeting facilities and receiving arrangements must be confirmed per property. Use the full venue name, event title, hall or room, and organizer contact in your printing brief; abbreviations alone are not enough for delivery planning.

Build the print scope around the format

A conference may prioritize registration branding, badges, programmes and session signs. An exhibition booth may need roll-ups, display panels and brochures. A stage-led event may require large graphics and speaker materials. Separate the printed products from structures, booth construction, electrical work and installation responsibilities.

Obtain current event instructions

Ask the organizer for the receiving point, approved move-in window, supplier requirements and contact details. Access can depend on the specific event and assigned hall. Do not rely on general venue information or a previous delivery. Share the relevant operational instructions with the delivery team before goods leave production.

Prepare a usable handover list

Record each product, artwork version, quantity and destination. Label cartons so teams can find registration materials without unpacking unrelated items. Agree who signs for delivery and who moves materials to their final position. Transport timing and charges should be reviewed for the actual route and receiving window, particularly for deliveries to BSD.

Keep the venue instructions with the order

DestinationInformation to confirm
JCCExact event, hall, receiving contact and organizer instructions.
JIExpoHall or booth reference, supplier access and goods-receiving window.
ICE BSDHall, organizer contact, receiving location and transport timing.
Every venueUse current event-specific instructions; names alone are not an access plan.

Use this as a starting checklist. Confirm the final specifications and event requirements against your own production brief.

Turn the plan into a print brief.

Send the item list, quantities, deadline and venue. Add your artwork or reference files, and highlight any decisions you would like help making.
