Event Signage Planning for Convention Centers

Practical planning notes from Kharisma Printing for organizers preparing event materials in Jakarta.

Map decisions along the route

Visitors need directions where routes split: entrance, registration, hall junctions, lifts and breakout corridors. Begin with the event floor plan and mark these decision points. Confirm which areas the organizer controls and which signs require venue approval before deciding quantities or dimensions.

Create a signage schedule

Give every sign an item code linked to a location, size, quantity and artwork file. Include arrows as a specific field because a mirrored placement may need a different direction. Keep room names consistent with the programme and registration material. A late room change should trigger a review of every related sign.

Design for distance and surroundings

Use strong contrast and a clear information hierarchy. Long paragraphs are difficult to read while moving. Check whether signs will compete with other exhibitors or venue information. Do not cover safety information or emergency routes. Review freestanding display stability and obtain the appropriate placement approval.

Plan installation and removal

Confirm who supplies stands or structures, who installs the graphics and when work is permitted. Exhibition move-in schedules may differ from public opening times. Include removal and return arrangements where hardware is rented. Keep an approved placement schedule available to the installation team so the printed items reach the correct locations.
