Compare how the brief is clarified
A useful printing partner asks about finished sizes, quantities, artwork status, delivery dates and venue access. These questions reduce ambiguity in pricing and production. Share the same specification with each supplier so you can compare their responses meaningfully rather than choosing between quotes that cover different things.
Review relevant experience carefully
Look for project scope that resembles your needs: conference materials, event signage, delegate kits or corporate distribution. Distinguish completed work from creative mockups, and do not assume that a displayed brand name proves a direct contract. Ask what the supplier actually handled and what information can be shared appropriately.
Read the complete quotation
Check materials, finishing, hardware, artwork preparation, packing, transport and any installation. Confirm taxes and payment terms in the quotation where applicable. Ask what happens if artwork changes after approval. A low headline price is less helpful when essential components have not been included or timing remains unclear.
Agree approval and handover
Identify the person authorized to approve artwork and the local contact who receives the goods. Ask how file versions will be controlled and how quantities will be checked at delivery. For overseas teams, written confirmation of scope and deadlines is particularly useful. Select a partner whose communication makes the production plan understandable.
Compare quotations on the same scope
| Quote line | Check for each supplier |
|---|---|
| Product | The same finished dimensions, material and quantity. |
| Branding & finishing | Print sides, colours, binding, fittings or packaging. |
| Logistics | Packing, transport, setup and any exclusions. |
| Approval | Who approves artwork, when production starts and how changes are handled. |
Use this as a starting checklist. Confirm the final specifications and event requirements against your own production brief.
